Steps
Step 1: Open Vehicles and choose “Add vehicle”
The sheet is titled “Add vehicle”: routes are split by what a vehicle can carry and how much fits.
Step 2: Name, type and colour
Enter a “Name” (up to 80 characters), pick a “Type” — Car, Van, Truck or Box truck — and a “Color”. The colour follows the vehicle everywhere: route cards, the dispatch timeline, the map and drivers’ screens.
Step 3: Tick what it carries
Under “Carries”, turn on Frozen, Refrigerated and Dry as they apply (Dry is on by default). An order that needs a freezer is never put on a vehicle without one; it’s held back with the reason shown when you build.
Pick at least one. A reefer van that also has dry space should have all three on.
Step 4: Set capacities and costs
“Weight capacity” in pounds, “Box capacity” (boxes, coolers or totes — whatever you load), and “Max stops”. Leave any at 0 for no limit. “Cost per mile” and “MPG” are optional and only used to work out what routing saves you.
Routing never treats an unknown order weight as zero, so capacity binds only on the pounds you actually know.
Step 5: Equipment tags and where routes start
Under “Equipment”, add tags such as liftgate or two-person; orders that need one only go on vehicles tagged with it. Under “Where its routes start and end”, leave both empty to use the business depot, or set “Starts at” for a vehicle kept at a driver’s home, and turn on “Finish at the last stop” to skip the drive back.
Step 6: Save, and edit any time
Choose “Add vehicle”. Editing later opens the same sheet with an “Active” switch — inactive vehicles aren’t offered when building routes. “Remove” stops it being offered; routes you’ve already planned keep it.
Good to know
- The vehicles list shows each one’s limits at a glance: “1500 lb · 12 boxes · 40 stops”, or “No limit”.
- Routing needs at least one active vehicle before it can plan a day.
Questions
What happens to a frozen order if no vehicle can carry frozen?
It stays unassigned when you build, with the reason “No vehicle can carry frozen items — mark a vehicle as frozen-capable.” Nothing is silently put on the wrong truck.
Does capacity count orders with no weight?
No. Unknown is not zero. The build screen tells you how many selected stops have no weight on file, and capacity binds only on known pounds.
Can a vehicle start somewhere other than the depot?
Yes — set “Starts at” on the vehicle for one kept at a driver’s home or a second site, and optionally “Finish at the last stop”.
