Dispatching and the day board

The day board is the morning screen: every route for the date with its driver, vehicle, stops, distance and savings. Dispatching a route from its detail page marks it ready and sends each customer a “delivery scheduled” notice; the dispatch board then follows the day live on a timeline and a map.

Steps

  1. Step 1: Read the day board

Each route card shows the route’s name, driver (or “No driver yet”), vehicle, stops, distance and time, its status and a savings chip like “Saved 12 mi · 35 min”. The card menu offers “Driver, vehicle and name” and “Cancel route”; a dashed tile adds “Build another route”.

  2. Step 2: Dispatch a route

Open the route and choose “Dispatch”. The dialog “Dispatch and notify customers?” explains that customers with a phone number or email on file are sent a “delivery scheduled” notice for the day with a link to follow the delivery, and that you can still edit the route afterwards. Confirm with “Dispatch · notify 12 customers”.

If scheduled notices are off in Settings, the dialog says so and dispatching messages nobody.

  3. Step 3: Send the driver their link

Choose “Share driver link” to text the route to its driver or copy the link. Staff drivers who sign in find it under “My routes”. The drivers guide covers how links expire and rotate.

  4. Step 4: Print a run sheet or load list

From the route’s “More route actions” menu, “Print run sheet” produces a PDF of every stop in order with line items; “Print load list” is for checking the van before it leaves.

  5. Step 5: Follow the day on the dispatch board

Dispatch board shows the date, how many drivers are out and who is running late. Filter by Unscheduled, Scheduled, Delivered or Needs attention; switch between Map, Timeline and List on a phone. “Needs attention” collects failed, late and skipped stops; “Unscheduled orders” lists anything not yet on a route.

  6. Step 6: Cancel a route if you must

“Cancel route” puts its open stops back on the day’s order list so you can build them onto another route; stops already finished stay as they are. Customers who were told about the route aren’t messaged about the cancellation — follow up with them if you need to. The driver’s link stops working.

Good to know

  • Dispatched routes can still be edited. A route that’s on the road can only change driver; one that’s finished can only be renamed.
  • Integrations → Messages shows whether each scheduled notice went out.

Questions

What exactly does dispatching send?

Each customer with a phone or email on file gets a “delivery scheduled” notice with the day, window and their tracking link — if that notice is on in Settings → Notifications. The driver gets nothing until you share the link or they open My routes.

Can I dispatch without notifying customers?

Turn “Scheduled” off in Settings → Notifications. The dialog then reads “Dispatch this route?” and no customer is messaged.

What is the difference between the day board and the dispatch board?

The day board is for planning: routes, savings and building. The dispatch board is for the live day: a timeline and map of every route as it happens, with what needs attention.
